Privacy Policy

Last updated: 2 November 2026

This privacy policy explains how personal data is processed on hycomm.eu, the website and online training platform (HyComm LAB) of the Erasmus+ project HyComm – Designing an AI-Enriched HyFlex Learning Community for Higher Education Teachers (project number 2024-1-NO01-KA220-HED-000251124). We process personal data in line with the EU General Data Protection Regulation (GDPR).

1. Who is responsible

The project is run by a consortium coordinated by the University of Bergen (Norway), with Universitat Autònoma de Barcelona (Spain), Özyeğin University (Türkiye), the Education and Future Technologies Association – EFTA (Türkiye) and the European Development Institute (Belgium). The website and training platform are developed and maintained by EFTA on behalf of the consortium.

For any question about your data, or to exercise your rights, contact us at info@efta.org.tr.

2. What data we collect and why

  • Visiting the website. Our server records technical data such as your IP address, browser type, the page requested and the time of the request. We use it only to deliver the site, keep it secure and fix errors (legitimate interest, Art. 6(1)(f) GDPR). Server logs are kept only as long as needed for these purposes.
  • Enrolling in the HyFlex Teaching Programme. When you create an account we collect your first and last name, email address and a password (stored only in encrypted form). We use this data to give you access to the programme, save your progress and issue your certificate (performance of the service you requested, Art. 6(1)(b) GDPR). We do not ask for your postal address, phone number or any payment details; the programme is free.
  • Learning activity. While you take the programme, the platform stores your lesson progress, quiz results, self-assessments, portfolio entries and the tasks you submit, so that you can continue on any device and receive a certificate.
  • Community forums. Posts and replies you write in the forums are visible to other registered participants, together with your display name.
  • AI tools and assistants. When you use an AI tool or assistant on the platform, the text you type is sent to Google’s Gemini API to generate a response, and the result is saved to your portfolio. Please do not enter personal data about students or other people. The GPT assistants listed at the end of the AI Playground open on ChatGPT (OpenAI) and are governed by OpenAI’s own privacy policy.
  • Contacting us. If you email us, we use your message and contact details only to answer you.

3. Project reporting

As an Erasmus+ project we report on our activities to the funding agency. For this we use aggregated, anonymous figures (for example, the number of participants or certificates issued). We do not pass your name or contact details to third parties for marketing, and we never sell personal data.

4. Cookies and similar technologies

We use only the cookies needed for the site to work: login and session cookies that keep you signed in and remember your progress, and a cache cookie that makes pages load faster. Your display preferences (such as text size or contrast) are stored in your own browser. We do not use advertising or tracking cookies.

5. Third-party services

  • Hosting. The website is hosted by our hosting provider on servers in Europe.
  • Google Fonts. Some fonts are loaded from Google’s servers, which receive your IP address when a page loads.
  • Google Gemini API. Used to process the text you enter in the platform’s AI tools (see above).
  • Embedded content. Pages may link to or embed content from YouTube, Google Drive or social media. These services may collect data when you view or play such content.

6. How long we keep your data

We keep your account and learning data for as long as your account exists. You can ask us to delete your account at any time. Data needed to document the project for the funding agency is kept only as long as the Erasmus+ rules require.

7. Your rights

You have the right to access your data, to have it corrected or deleted, to restrict or object to its processing and to receive it in a portable format. You can also withdraw any consent you have given. To use these rights, write to info@efta.org.tr. You also have the right to lodge a complaint with a data protection authority, for example in the country where you live.

8. Changes

We may update this policy as the project develops. The date at the top shows when it was last changed.
